Problem

Customers reported daily meal counts by phone and messenger, and the numbers did not always reach drivers in time, which caused delivery errors. After delivery, each side remembered different quantities, so the same checks were repeated at every month-end settlement.

Constraints

  • Exports had to match the Excel format of the client's existing accounting software. We chose to make the new system fit that format rather than change it.
  • Orders had to lock after the cutoff time. Any mismatch at the cutoff boundary turns straight into a settlement dispute.
  • Past order amounts had to stay the same even if unit prices changed later.

Solution

  1. 1

Customers, drivers and admins each got their own screens. Customers submit meal counts on the web, drivers record delivery and unloading in the app, and admins see everything on one screen.

  2. 2

The unit price at the time of order is stored with the order, so later price changes do not affect past amounts.

  3. 3

Rules behind settlement disputes (cutoff boundary, price snapshot, separating orders not yet inspected) are enforced by database constraints rather than application code, with regression tests to verify them.

  4. 4

Data can be downloaded in an Excel format that goes straight into the accounting software.
